Privacy Policy

Your documents are personal. This page explains what Docivo handles, what stays in your browser, and the choices available to you.

Who we are

This Privacy Policy explains how Docivo handles information when you use docivo.org, create an account, buy access, or use our PDF and document tools. For privacy questions, use the support email shown on Docivo’s Google sign-in consent screen.

Information we handle

Depending on the features you use, Docivo may handle the following information:

  • Account details: your email address, password hash (not your plain-text password), email-verification records, and account/session identifiers. If you sign in with Google, we receive your Google account email and a provider identifier used to link your Docivo account.
  • Subscription details: Stripe customer and subscription identifiers, subscription status, billing dates, and payment totals. Stripe processes card payments; Docivo does not receive or store your full card number or security code.
  • Profile details: if you use the personal or rental document builder and leave optional profile storage enabled, the details you enter— which can include contact, address, passport or identity-document, income, and rental information—are stored in the Docivo database as readable text. Docivo database administrators can access this information. It is kept for up to one year after the last save, and you can delete the saved profile from the profile tool.
  • Documents and files: files attached in the rental-application builder are uploaded to Docivo’s Cloudflare R2 file storage, with their details indexed in the Docivo D1 database. Docivo administrators can view these attachments. Access expires one year after upload. Removing an attachment, replacing it, or deleting your saved profile removes its stored copy. The rental PDF is assembled on your device. Other PDF tools may send files to Docivo’s server for the requested processing; those processing files are not intentionally kept in the persistent rental-file library.
  • Technical and browser data: necessary cookies support sign-in, subscription access, and saved-profile identification. Browser storage may hold interface preferences and temporary drafts. We may also process basic request and security information to operate and protect the service.

How we use information

We use information to provide the tools and account features you request, verify email addresses, maintain sign-in sessions, activate and manage access, process payments, respond to support or privacy requests, prevent abuse, protect the service, and meet legal obligations. Optional saved-profile information is used to restore your details in the profile tool when you return.

Service providers

Docivo uses service providers to run the product: Cloudflare for hosting and database services, Stripe for payments and subscription management, Google when you choose Google sign-in, and Resend to deliver account emails. These providers process information as needed to provide their services and under their own privacy terms. Docivo does not sell personal information or use it for third-party advertising.

Some providers may process information in countries other than your own. Where required, applicable safeguards are used for such transfers.

Retention and deletion

Saved profile information is retained for up to one year after its last save unless you delete it sooner. Admin access to rental attachments expires one year after upload. Expired file objects are removed during the next storage cleanup, which runs when an admin opens the document list or another file is uploaded. You can remove an attachment in the rental builder or delete the saved profile to remove its stored copies sooner. Account and security records are retained while needed to provide and protect your account. Payment providers and Docivo may retain limited transaction records for accounting, legal, and dispute-resolution requirements. Files sent to server-based PDF tools for processing are not intentionally added to the persistent rental-file library.

You can delete a saved profile in the profile tool. For other requests to access, correct, or delete account information, contact Docivo using the support email shown on the Google sign-in consent screen. Depending on where you live, you may also have rights to restrict or object to processing, request portability, or withdraw consent. These rights are subject to applicable law and its exceptions.

Security and your choices

We use technical and organizational measures intended to protect the service. No online service can guarantee absolute security. In particular, optional saved profile details are stored as readable text and are accessible to Docivo database administrators; do not save information you are not comfortable storing this way. You can turn off optional profile storage or delete the saved profile from the profile tool.

Changes to this policy

We may update this policy as Docivo changes. The date at the top shows when this version was last updated. If a change materially affects how information is handled, we will provide notice through the service where appropriate.
